How this is calculated
Forward funnel (per month)
delivered = contacts × delivered %
replies = delivered × reply rate
positive replies = replies × positive %
meetings booked = positive replies × booked %
meetings held = meetings booked × show rate
opportunities = meetings held × opportunity %
pipeline $ = opportunities × ACV
deals won = opportunities × win rate
closed-won $ = deals won × ACVReverse calculation
pipeline per contact = delivered % × reply % × positive % × booked % × show % × opp % × ACV
required contacts = ⌈ target pipeline ÷ pipeline per contact ⌉
required meetings = ⌈ target pipeline ÷ ACV ÷ opportunity % ⌉Annual figures are monthly figures × 12. ⌈ ⌉ means round up.
Assumptions & defaults
The pre-filled values are starting assumptions so the calculator shows a result on load. They are not industry statistics — replace each one with your own numbers.
- Default of 2,000 new contacts per month with 95% delivered and a 4% reply rate.
- 40% of replies positive, 60% of positive replies booking a meeting and an 80% show rate.
- 50% of held meetings becoming opportunities and a 20% win rate.
- $25,000 average contract value and a $500,000 monthly pipeline target for the reverse calculation.
- All of these are placeholders chosen to make the funnel readable — none is an industry benchmark. Use your CRM data.
- Each step converts independently and every contact is worked once; multi-channel touches and sales-cycle timing are not modelled.
Frequently asked questions
How do I calculate outbound pipeline from contacts?
Multiply contacts by each conversion rate in order — delivered, replied, positive reply, meeting booked, meeting held, opportunity created — to get opportunities, then multiply by average contract value to get pipeline. Multiply opportunities by win rate and contract value for closed-won revenue.
How many contacts do I need to hit a pipeline target?
Divide the pipeline target by the pipeline each contact produces, which is the product of all funnel rates up to opportunity times average contract value, and round up. The calculator does this in the reverse calculation box.
Why does the calculator use reply rate instead of open rate?
Open tracking is unreliable because of image blocking and privacy features that pre-load emails, so opens are a weak signal. Replies are a direct action you can count accurately, which makes them a better funnel step.
Which funnel rate has the biggest effect on pipeline?
Every rate multiplies the others, so improving any single step by the same relative amount raises pipeline by the same percentage. In practice the cheapest step to improve is usually the biggest lever; change one input at a time to see the effect on your numbers.
Are the default conversion rates benchmarks?
No. The defaults are placeholder assumptions so the funnel shows a result on load. Replace them with rates from your own CRM and sequencing data.
Does the calculator account for sales cycle length?
No. It treats each month's contacts as producing that month's pipeline and revenue. In reality closed-won revenue lands weeks or months later, so read the revenue figure as the eventual value of one month of outbound.
